Distributed crews

Your workforce does not clock in at one door: it is spread across several simultaneous sites, sometimes in different regions. A system designed for a single workplace does not reflect where each person actually is, nor how many hours have been charged to each project.

How we approach it

Built for the person holding the phone

We have built site time-tracking systems with GPS geofencing and offline support. The design constraint is always the same: it must not add work for the person on site.

The constraint

Off-the-shelf time-tracking tools assume a single workplace and permanent connectivity. In construction neither holds: people change sites, clock in from basements with no signal, and the company needs to know how many hours each project has absorbed in order to bill correctly.

How we solve it

One-tap mobile clock-in, validated by geofencing against the assigned site perimeter. With no signal, the entry is stored locally and synced once the network returns, preserving the real timestamp. The admin panel shows every site at once, with automatic reports you can hand to an inspector without rebuilding anything by hand.

The legal frame around site time tracking

Construction concentrates a large share of labour inspection activity on working time. These are the pieces any clock-in system has to respect.

EU working time recording

In its 2019 ruling in case C-55/18, the Court of Justice of the EU held that member states must require employers to set up an objective, reliable and accessible system measuring daily working time. National implementations differ, but the obligation to record is the common baseline.

National rules keep moving

Several member states are tightening their regimes towards digital, personal and tamper-proof records with remote access for workers and inspectors. If you operate across borders, assume the strictest regime and check the current state in each country before rolling out.

Penalties

Failure to keep working time records is typically classed as a serious infringement with direct financial penalties, often calculated per workplace or per affected worker. Reconstructing records after an inspection request is not a viable strategy.

Geolocation and proportionality

GPS clock-in is lawful where it is proportionate: capture the location only at the moment of clocking in, never continuous tracking, limited to working hours, with prior information to staff. Data protection authorities consistently focus on proportionality and minimisation.

GDPR and minimisation

Location is personal data. We design for minimisation by default: store the validation that the clock-in happened inside the perimeter, not a continuous trail of movements. Defined retention periods and role-based access control.

Subcontracting chains

Construction subcontracting carries specific registration and document-control duties in most jurisdictions. A properly built site access system leaves an audit trail of who entered, when, and with which documents valid at that moment.
